Request/Subject

Ratify the Board of Supervisors' approval of the purchase one (1) 2023 Ford Transit 250 Low Roof Short Wheelbase Cargo Prisoner Transport Van with Installed Passenger insert using San Tan Partners, LLC Arizona State Contract CTR059323.

Background Information

The Detention van A-054 requires an engine replacement and has 153K miles and is 10 years old. The cost-effectiveness of repair exceeds the useful life of the vehicle therefore a replacement vehicle is required. Gila County Fleet Manager was notified that the order window to place the order for the transit van was closing two weeks earlier than anticipated due to manufacturing capacity. If an order was not placed by August 25, 2022, it would be another year before the manufacturing window would open to produce the transit van. In order to procure the new van, the order had to be placed by August 25, 2022.

Evaluation

Due to the availability and difficulty in acquiring this type of vehicle, the Fleet needed to order by August 25, 2022. and request ratification of the approval by the Board of Supervisors'.

Conclusion

Fleet Services and Purchasing was able to place the order for the transit van to meet the deadline of August 25, 2022, and request ratification of the approval by the Board of Supervisors'.

Recommendation

The Public Works Department Director and the Fleet Manager request ratification of the approval of the purchase of one (1) 2023 Ford Transit 250 Low Roof Short Wheelbase Cargo Prisoner Transport Van with Installed passenger Insert with Outfitting ordered on August 25, 2022, with the total delivered price of $79,569.63 from San Tan Partners, LLC Contract under State CTR059323.
