Amendment No. 1 to Contract No. 050619-Bulk Fuel and Lubricants
Background Information
On June 23, 2019, the Board of Supervisors awarded a contract to Fuelco Energy, LLC in response to Invitation for Bids (IFB) No. 0450619-Bulk Fuel and Lubricants for the period of July 23, 2019, through July 22, 2020.

Amendment No. 1 to Contract No. 050619 was presented by Steve Sanders, Public Works Department Director, to the Board of Supervisors on June 16, 2020. At that time, Mr. Sanders requested the Board to table this item to its July 7th meeting due to errors being discovered in consumption and usage. He added that the corrections will not affect the increase in the contract dollar amount. The Board voted unanimously to table this item to its July 7th meeting.
Evaluation
Contract No. 051619 expires on July 22, 2020. The contract allows for three additional one-year renewal periods at an annual cost of $707,000; therefore, staff recommends that the contract be renewed for one additional year, from June 20, 2020, to July 22, 2021.

Additionally, Amendment No. 1 will serve to increase the dollar amount of the contract by $193,000 due to the addition of a site at the Buckhead Mesa Landfill; the addition of one lubricant product; the increase of product usage at current sites; and the change to lubricant pricing.
Conclusion
Staff feels it is in the best interest of Gila County to renew this contract for another 12 months. The company has responded well to the County's requests for deliveries and it engages responsible drivers.
Recommendation
The Public Works Department Director recommends renewing the contract with Fuelco Energy, LLC for one additional year, whereby Fuelco Energy, LLC will continue to provide bulk fuel and lubricants at various Gila County locations for the period July 23, 2020, to July 22, 2021. After this contract period ends, there are two final options to renew the contract for an additional one-year period.

Information/Discussion/Action to approve Amendment No. 1 to Contract No. 050619 to extend the contract term with Fuelco Energy, LLC from July 23, 2020, to July 22, 2021; and increase the amount of the contract by $193,000 for a new total contract amount of $900,000 for the continued provision of bulk fuel and lubricants at various Gila County locations.
