Approval of Amendment No. 1 to extend Contract No. 012422 with McSpadden Ford

Background Information

The advertisement of an Invitation for Bids to purchase two new Ford Escape AWD 2.0L EcoBoost vehicles was authorized by the Board of Supervisors on February 8, 2022. McSpadden Ford was the only responding bidder. The Board awarded a contract to McSpadden Ford on May 17, 2022.

Evaluation

The vehicles mentioned in the agenda request will be needed in the fleet in the coming year for Sheriff's Office Justice Enhancement Detention use. These vehicles would replace vehicles (A-026 and A-077) that are costing a lot of money in repairs and fuel and are at or above 200,000 miles and/or exceed two or more requirements for replacement as supported by Agile Fleet Data and current General Services Fleet Division Vehicle Replacement Plan Data. Vehicles (A-026 and A-077) will be used as a “trade-in” to prevent increasing the size of the fleet and will be disposed of at auction.

The Ford manufacturer is having problems obtaining parts and supplies to complete the build of the vehicles and may not be ready to ship until after August 2022.

Conclusion

The date on the contract for delivery was no later than June 30, 2022. Public Works General Services wishes to extend Contract No. 012422 with McSpadden Ford to October 31, 2022; therefore, Amendment No. 1 to the Contract needs to be approved by the Board of Supervisors.

Recommendation

The Public Works Department Director recommends that the Board of Supervisors approve Amendment No. 1 to extend Contract No. 012422 for the purchase of two new Ford Escape AWD 2.0L EcoBoost vehicles for Sheriff's Office Justice Enhancement Detention use to October 31, 2022.
