Contract Award in Response to Invitation for Bids No. 111518-2 Purchase of One (1) F150 Crew Cab 4x4 Sheriff's Office Task Force Vehicle.

Background Information

On December 4, 2018, the Gila County Board of Supervisors authorized the newspaper advertisement of Invitation for Bids No. 111518-2 for the purchase of one (1) New Ford F15 Ford Crew Cab 4x4.

Invitation for Bids No. 11151821 was advertised in the Payson Roundup newspaper on December 11, 2018, and December 25, 2018. All sealed bids were due on January 15, 2019.

Evaluation

Sealed bids were accepted at the Gila County Finance Department through 4:00 P.M., MST, on January 15, 2019. The Finance Department received competitive bids from two vendors for Invitation for Bids No. 111518-2.

Tate's Auto Center Holbrook offered two bids, one an alternate bid, and met all bid specifications with the alternate bid, and offered the low bid price at $46,648.40.

The vehicle mentioned in the Invitation for Bids will be needed in the fleet in the coming year for the Sheriff’s Office Task Force use. This vehicle would replace unit B-170, a 2008 Chevrolet Tahoe 4x4 with more than 150,000 miles and a bad transmission that is costing a lot of money in repairs and fuel. Vehicle B-170 will be used as a “trade in” to prevent increasing the size of the fleet and will be disposed of at auction.

Conclusion

The vehicle that will be purchased from this contract request will be assigned to the Sheriff’s Office Task Force.

Recommendation

The Public Works Director recommends that the Board of Supervisors award a contract to Tates's Auto Center Holbrook in the amount of $46,648.40 for the purchase of one (1) New Ford F150 full size, 1/2 ton 4x4, crew cab pickup, as specified in Invitation for Bids No. 111518-2 with installed equipment as outlined in the Tate's Auto Center Holbrook proposal.

Suggested Motion

Information/Discussion/Action to review all bids submitted for Invitation for Bids No. 111518-2 to purchase one (1) new Ford F150 full size, half-ton, 4x4, crew cab pickup truck; award to the lowest, responsible and qualified bidder; and authorize the Chairman's signature on the award contract for the winning bidder.
