Contract Award on Response to Invitation for Bids No. 111518-1-Purchase Four (4) New Ford Expedition SSVs for Sheriff's Patrol.

Background Information

On December 4, 2018, the Gila County Board of Supervisors authorized the newspaper advertisement of Invitation for Bids No. 111518-1 for the purchase of four (4) New Ford Expedition SSVs.

Invitation for Bids No. 111518-1 was advertised in the Payson Roundup newspaper on December 11, 2018, and December 25, 2018. All sealed bids were due on January 15, 2019.

Evaluation

Sealed bids were accepted at the Gila County Finance Department through 3:30 P.M., MST, on January 15, 2019. The Finance Department received competitive bids from two vendors for Invitation for Bids No. 111518-1.

McSpadden Ford met all bid specifications and offered the low bid price at $59,275.26 per vehicle.

The vehicles mentioned in the agenda request will be needed in the fleet in the coming year for the Sheriff’s Office for patrol officer use. These vehicles would replace units B-107 2006 Ford Expedition 4x4 with 234,711 miles, B-116 2001 Chevrolet Tahoe 4x2 with 171,785 miles, B-127 2003 Chevrolet Tahoe 4x2 with 208,553 miles, and B-114 2001 Chevrolet Tahoe 4x2 with 197,600 miles that is costing a lot of money in repairs and fuel. Vehicles B-107, B-116, B-127 and B-114 will be used as a “trade in” to prevent increasing the size of the fleet and will be disposed of at auction.

Conclusion

The vehicles that will purchased with this contract will be used by the Sheriff’s patrol officers to replace older vehicles.

Recommendation

The Public Works Director recommends that the Board of Supervisors award a contract to McSpadden Ford in the amount of $237,101.04 for the purchase of four new Ford Expedition SSVs as specified in Invitation for Bids No. 111518-1 with installed equipment as outlined in the McSpadden Ford proposal.

Suggested Motion

Information/Discussion/Action to review all bids submitted for Invitation for Bids No. 111518-1 to purchase four (4) new Ford Expedition SSVs; award to the lowest, responsible and qualified bidder; and authorize the Chairman's signature on the award contract for the winning bidder. (Steve Sanders)
