Request to Award Bid No. 070816 for Two (2) New or Used Full Sized Regular Cab 3/4 Ton Pickups.
Background Information
On August 15, 2016, the Gila County Board of Supervisors authorized the newspaper advertisement of Invitation for Bids No. 070816 for two new or used full sized regular cab 3/4 ton pickups.

Invitation for Bids No. 070816 was advertised in the Arizona Silver Belt on August 24, 2016, and August 31, 2016. All sealed bids were due on September 7, 2016, by 11:00 A.M. MST.
Evaluation
Sealed bids were accepted in the Gila County Finance Department through 11:00 A.M. MST, on September 7, 2016. The Finance Department received competitive bids from three vendors for Invitation for Bids No. 070816, for two (2) new or used full sized regular cab 3/4 ton pickups. A bid was received from a fourth bidder, but it was delivered by Federal Express at 1:30 P.M. Per the Instructions to Vendors provided in the Invitation for Bids No. 070816 package, any bid received later that the date and time specified on the Notice for Sealed Bids shall not be considered. The late bid was returned, unopened, to the vendor.

McSpadden Ford offered the low bid price at $24,087.96 each for a total quantity of two (2) 2017 Ford F-250 4x2 regular cab pickups. These vehicles will replace units with high mileage that have become too expensive to operate or are inefficient, or vehicles that have been damaged and are no longer operable. The Facilities Department will be the recipients of these vehicles, in turn for at least six vehicles, which would then go into the County auction. Vehicles A-97, B-32, C-45, B-68, C-57 and B-89.
Conclusion
The vehicles that would be purchased from the award of Invitation for Bids 070816 for two (2) new or used full sized regular cab 3/4 ton pickups would be assigned to the Facilities Department.

The low bidder was McSpadden Ford, which has met all of the proposal requirements. The Fleet Department recommends that the Board approve the purchase of two pickups through McSpadden Ford in the amount of $48,175.92.
Recommendation
The Public Works Director recommends that the Board of Supervisors award a contract for Invitation for Bids No. 070816 for the purchase of two new or used full sized regular cab 3/4 ton pickups as specified.
Suggested Motion
Information/Discussion/Action to review all bids submitted for Invitation for Bids No. 070816 for the purchase of two (2) new or used full sized regular cab 3/4 ton pickups; award to the lowest, responsible and qualified bidder; and, authorize the Chairman's signature on the award contract for the winning bidder.  (Steve Sanders)
