| Amendment No. 2 to Contract No. 110514-Janitorial Service for Southern Gila County. |
| Background Information |
On March 17, 2015, the Board of Supervisors approved a request to advertise Request for Proposals (RFP) No. 110514-Janitorial Service for southern Gila County. RFP No. 110514 was advertised in the March 25, 2015, and April 1, 2015, additions of the Arizona Silver Belt. Responses received to RFP No. 110514 were opened in a public setting on April 8, 2015, and the Board of Supervisors awarded a contract to the lowest, most responsible and qualified bidder, which was Jani-Serv, Inc. The contract annual amount was for $92,036.86.
On July 5, 2016, the Board of Supervisors approved Amendment No. 1 to the Agreement which renewed the contract for one additional year beginning May 5, 2016, through May 4, 2017.
Jani-Serv has been the County's janitorial service company since May 5, 2015, for the southern region of Gila County. The original contract allows for periodic changes. The Copper Building was included, but not assigned. |
| Evaluation |
According to contract language, any permanent changes must be processed as an amendment to the contract requiring Board approval. The Probation side of the Copper Building, 9,551 sq. ft, will be occupied and will need janitorial service as of September 26, 2016; and the General Services side of the building, also 9,551 sq ft, will be occupied and need janitorial service on or about October 10, 2016.
The Guerrero Building will require additional carpet cleaning services prior to new occupants moving into the space. Prices per square foot will be the same as quoted in the contract and discussions about temporary work changes will be agreed upon prior to work starting. Other temporary work will be agreed upon during the course of the contract.
Amendment No. 2 has been issued to increase the contract amount by an additional $3,660 for an amended contract amount of $95,696.86 to cover temporary costs if they occur. |
| Conclusion |
| The Facilities Management Department and Public Works Division Director have requested adding the permanent janitorial service for the Copper Building under the existing Jani-Serv, Inc. contract; and an increase to the Contract to cover the remainder of the contract term from May 5, 2016 to May 4, 2017. |

| The Facilities Management Department and the Public Works Division Director recommends adding the permanent janitorial service for the Copper Building under the existing Jani-Serv, Inc. contract; and allowing for an additional $3,660 should it be needed for floor cleaning. |
