| Amendment No. 2 to Contract No. 042314 Janitorial Service for Northern Gila County |
| Background Information |
On June 24, 2014, the Board of Supervisors approved a request to advertise Request for Proposals (RFP) No. 042314 for janitorial services in northern Gila County. RFP No. 042314 was advertised in the July 2, 2014, and July 9, 2014, editions of the Arizona Silver Belt. Responses received to RFP No. 042314 were opened in a public setting on July 23, 2014. RFP No. 042314 was emailed to six janitorial contractors, as well as posted on the Gila County website. On August 18, 2014, the Board of Supervisors awarded a contract to the lowest, most responsible and qualified bidder, which was Jani-Serv, Inc. The annual contract amount was for $40,714.56.
On September 15, 2015, the Board of Supervisors approved Amendment No. 1 to extend the term of the contract from August 18, 2016, to August 17, 2017. Amendment No. 1 also served to increase the original dollar amount of the contract from $40,714.56 to $42,11456. |
| Evaluation |
The following County facilities are serviced under Contract No. 042314: Payson Courthouse, Sheriff's Office, Health/Rabies/Environmental, Community Action, Co-Op Extension, Administration Building, Assessor's Office, Recorder's Office, Sheriff's Office-Jail Administration and Justice of the Peace Courtroom.
Service Agreement No. 042314 - Janitorial Services for Gila County with Jani-Serv will expire August 17, 2016. Per Page 17 "Term and Renewal" of the contract, Gila County has the option to renew the contract for three additional one-year terms.
Amendment No. 2 will serve to exercise the option to renew the contract for one additional year, from August 18, 2016, to August 17, 2017. |
| Conclusion |
| County staff is pleased with the service provided by Jani-Serv, Inc. and would like to extend the contract for another year. |
| Recommendation |
| The Finance Division Director and the Public Works Division Director recommend renewing the contract with Jani-Serv, Inc. for one additional year, whereby Jani-Serv, Inc. will continue to provide janitorial services for various County facilities in northern Gila County. |

| Approval of Amendment No. 2 to Contract No. 042314 with Jani-Serv, Inc. to extend the contract term to provide janitorial services for various County facilities in northern Gila County for the period of August 18, 2016, through August 17, 2017, at an annual cost of $42,114.56. |
