Amendment No. 1 to Alhambra Contract No. M16-13-21 with Sunland Asphalt for the Copper Region Pavement Preservation to extend the contract date through November 15, 2018.

Background Information

On April 3, 2018, the Board of Supervisors approved the use of S.A.V.E. Mohave Contract No. M16-13-21 with Sunland Asphalt for Copper Region Pavement Preservation project. The Public Works Division Director would like to extend the contract date through November 15, 2018, due to a delay in the project schedule.

The following County maintained roads approaching Highway U.S. 60 in Claypool are in need of complete asphalt replacement:
Grover Canyon, Pineway, 2nd Street, New Street and Old Oak.
Ice House Canyon and Fairgrounds roads are in need of a chip seal coat.
San Carlos Drive, San Carlos Way and San Carlos Lane are in need of a seal coat.

Evaluation

The original contract term for S.A.V.E. Mohave Contract No. M16-13-21 with Sunland Asphalt for Copper Region Pavement Preservation was from April 3, 2018, to October 15, 2018. The Public Works Division Director would like to extend the contract end date from October 15, 2018, to November 15, 2018. Amendment No. 1 (attached as Exhibit A) will serve to extend the term of the contract from October 15, 2018, to November 15, 2018, due to a delay in the project schedule.

Conclusion

The Amendment needs to be approved by the Board of Supervisors to extend the contract from October 15, 2018, to November 15, 2018, due to a delay in the project schedule.

Recommendation

The Public Works Division Director recommends that the Board of Supervisors approve the Amendment to extend the contract for an additional month to allow completion of the Copper Region pavement preservation as shown on Exhibit “A”, proposal 82243.

Suggested Motion

Approval of Amendment No. 1 to the S.A.V.E. Cooperative IFB #M16-13-21 with Sunland Asphalt for Copper Region pavement preservation to extend contract to November 15, 2018.
