Amendment No. 1 to Contract No. 042417-Bulk Fuel and Lubricants

Background Information

On June 20, 2017, the Board of Supervisors awarded a contract to Southern Counties Oil Company dba SC Fuels in response to Invitation for Bids (IFB) No. 042417-Bulk Fuel and Lubricants for the period of June 20, 2018, through June 19, 2019.

Evaluation

Contract No. 042417 expires on June 20, 2018. The contract allows for two additional one-year renewal periods at an annual cost of $750,000; therefore, staff recommends that the contract be renewed for one additional year, from June 20, 2018, to June 19, 2019.

Conclusion

Staff feels it is in the best interest of Gila County to renew this contract for another 12 months. The company has responded well to the County's requests for deliveries and it engages responsible drivers.

Recommendation

The Public Works Division Director recommends renewing the contract with Southern Counties Oil Company for one additional year, whereby Southern Counties Oil Company will continue to provide bulk fuel and lubricants at various Gila County locations for the period June 20, 2018, to June 19, 2019. After this contract period ends, there is one final option to renew the contract for an additional year.

Suggested Motion

Approval of Amendment No. 1 to Contract No. 042417 to extend the contract term with Southern Counties Oil Company in the amount of $750,000 to provide bulk fuel and lubricants at various Gila County locations from June 20, 2018, to June 19, 2019; and authorize the Chairman's signature on the Amendment.
