Contract Award in Response to Invitation for Bids No. 113020-Replacement of One (1) Sheriff's Office CJEF (Criminal Justice Enhancement Fund) Vehicle.

Background Information

On December 15, 2020, the Gila County Board of Supervisors authorized the newspaper advertisement of Invitation for Bids No. 003020-Replacement of One (1) Sheriff's Office CJEF Vehicle.

Invitation for Bids No. 113020 was advertised in the Payson Roundup newspaper on December 22, 2020, and December 29, 2020.

The vehicle mentioned in the agenda request will be needed in the fleet in the coming year for the Sheriff's Office. Sheriff's Office Criminal Justice Enhancement Fund (CJEF) funds will be utilized for this purchase. This vehicle would replace the unit (A-026) a 2007 Ford Taurus with 201,324 miles, which is costing a lot of money in repairs and fuel as supported by Agile Fleet Data and current General Services Fleet Division Vehicle Replacement Plan data. Vehicle (A-026) will be disposed at auction to not increase the size of the fleet.

Evaluation

Sealed bids were accepted at Gila County Finance Department through 11:00 P.M., MST, on January 12, 2021. The Finance Department received competitive bids from two vendors in response to the Invitation for Bids No. 113020.

Tom Jones Ford, LLP met all bid specifications and offered the low bid price at $52,999.15.

Conclusion

The vehicle that will be purchased from this contract will be assigned to the Sheriff's Office.

Recommendation

The Public Works Department Director recommends that the Board of Supervisors award a contract to Tom Jones Ford LLP in the amount of $52,999.15 for the purchase of One (1) new Ford Expedition SSV with installed equipment as outlined in the proposal submitted by Tom Jones Ford LLP.

Suggested Motion

Information/Discussion/Action to review all bids submitted for Invitation for Bids No. 113020-Replacement of One (1) Sheriff's Office CJEF (Criminal Justice Enhancement Fund) Vehicle; award to the lowest, responsible and qualified bidder; and authorize the Chairman's signature on the award contract for the winning bidder.
