Contract Award in Response to Invitation for Bids No. 112920-Replacement of Six (6) Sheriff's Office Patrol Vehicles.
Background Information
On December 15, 2020, the Gila County Board of Supervisors authorized the newspaper advertisement of Invitation for Bids No. 112920-Replacement for the purchase of Six (6) Sheriff's Office Patrol Vehicles.

Invitation for Bids No. 112920 was advertised in the Payson Roundup newspaper on December 22, 2020, and December 29, 2020.

The vehicles mentioned in the agenda request will be needed in the fleet in the coming year for the Sheriff's Office for patrol use.  These vehicles would replace units (B-107, B-108, B-120, B-127, B-128, and B-145) that are costing a lot of money in repairs and fuel and are at or above 200,000 miles as supported by Agile Fleet Data and current General Services Fleet Division Vehicle Replacement Plan Data. Vehicles (B-107, B-108, B-120, B-127, B-128, and B-145) will be disposed of at auction to not increase the size of the fleet.
Evaluation
Sealed bids were accepted at the Gila County Finance Department through 3:00 P.M., MST, on January 12, 2021. The Finance Department received competitive bids from two vendors in response to the Invitation for Bids No. 112920.

Tom Jones Ford, LLP met all bid specifications and offered the low bid price at $386,272.11.
Conclusion
The vehicles that will be purchased with this contract will be used by the Sheriff’s Office Patrol to replace older vehicles that have met the requirements of the County and have exceeded the recommended replacement intervals.
Recommendation
The Public Works Director recommends that the Board of Supervisors award a contract to Tom Jones Ford, LLP in the amount of $386,272.11 for the purchase of six (6) new Ford Expedition SSVs with installed equipment as outlined in the Tom Jones Ford LLP proposal.
Suggested Motion
Information/Discussion/Action to review all bids submitted for Invitation for Bids No. 112920-Replacement of Six (6) Sheriff's Office Patrol Vehicles; award to the lowest, responsible and qualified bidder; and authorize the Chairman's signature on the award contract for the winning bidder.
