Fill the Gap Application - Microfilm Machine

Background Information

Gila County Clerk of the Superior Court would like to expedite work flow of microfilm searches. We have an antiquated machine that is not working to full capacity. Purchasing a new machine will allow customers to find documents in an expeditious manner. Superior Court Criminal archived case research is done on a daily basis by various agencies as well as individuals applying to restore their Civil Rights. Reproduction quality of the documents will be greatly improved.

Evaluation

Ease of finding documents quickly and the quality of the copies that we are providing to the Public.

In order to continue to provide the most efficient means of access to Superior Court criminal archival cases to all users of Gila County court records, it is necessary to replace the existing antiquated fiche/16mm/35mm roll film equipment with a product consisting of upgraded technology features that will provide quality reproduction, searchable text tools for identifying documents quickly, increase camera magnification, size of equipment for limited space allowance, etc., in conducting research from this type of media. at this time funding resources are not available to digitize all of our old criminal microfilmed cases, therefore, this customer service tool needs to be available.

Conclusion

The Clerk of Superior Court respectfully recommends approval of the submission of this Fill the Gap application.

Information/Discussion/Action to approve the Gila County Clerk of Superior Court's "Fill the Gap" application to the Court Services Division, Administrative Office of the Courts, in the amount of $12,506.09 in order to purchase the ST ViewScan III Universal Base and complete workstation.
