Request to Award Invitation for Bids No. 081516 - Up to Eight (8) 4x4 SSV Utility Vehicles.

Background Information

On September 20, 2016, the Gila County Board of Supervisors authorized the newspaper advertisement of Invitation for Bids No. 081516 for the purchase of up to eight (8) new SSVs to allow the County Fleet Department the ability to receive proposals from automobile suppliers, and have the option to purchase up to eight new units during a one-year period, if necessary.

Invitation for Bids No. 081516 was advertised in the Arizona Silver Belt on September 21, 2016, and October 6, 2016. All sealed bids were due on October 12, 2016, by 11:00 A.M. MST.

Evaluation

Sealed bids were accepted in the Gila County Finance Department through 11:00 A.M. MST, on October 12, 2016. The Finance Department received competitive bids from four vendors for Invitation for Bids No. 081516 for the purchase of up to eight (8) 4x4 SSVs. Bid responses were opened and evaluated in accordance with A.R.S.§41-2533, Competitive Sealed Bidding.

McSpadden Ford offered the low bid price at $31,228.15 each, for a total quantity of of up to eight 2017 Ford Expeditions.

Conclusion

The vehicles that would be purchased from the award of Invitation for Bids 081516 for up to eight (8) 4x4 SSV utility vehicles would be assigned to the Sheriff's Office.

The low bidder was McSpadden Ford, which has met all of the proposal requirements. The Fleet Department recommends that the Board approve the purchase of up to eight (8) 4x4 SSV Utility vehicles through McSpadden Ford in the amount of $249,825.20.

Recommendation

The Public Works Director recommends that the Board of Supervisors award a contract for Invitation for Bids No. 081516 for the purchase of up to eight (8) 4x4 SSV utility vehicles as specified.

Suggested Motion

Information/Discussion/Action to review all bids submitted for Invitation for Bids No. 081516 for the purchase of up to eight (8) 4x4 SSV utility vehicles; award to the lowest, responsible and qualified bidder; and, authorize the Chairman's signature on the award contract for the winning bidder.
